Position Summary

The Personal Assistant works within a multidisciplinary team and provides secretarial and administrative support to the Operations Director, CNO, Site Manager, Director of Emergency Services, Site Medical Director, Quality Manager, Patient Services Managers, Nurse Unit Managers and is the Volunteer Coordinator at Rosebud Hospital. This is a critical position that enables effective communication across all departments as well as broader Peninsula Health personnel. The Personal Assistant ensures effective functioning of operations through all aspects of the office and through the provision of efficient administrative systems.

Key Responsibilities

• Provide the full range of general office and administrative duties as required, maintain an efficient and effective secretarial and administrative support to the Operations Director, DON, Site Manager, Director of Emergency Services, Site Medical Director, Quality Manager, Patient Services Managers and Nurse Unit Managers.
• Performs all duties in a timely, efficient and professional manner.
• Develop and maintain administrative systems and processes which ensure matters requiring responses are dealt with in a timely manner.
• Preparation, collation and distribution of agenda papers and meeting documentation for the Committees as required. Acts as the minute taker on relevant committees
• Collation of required information for Budgets and Variance Reports.
• Be aware of and work in accordance with organisational policies and procedures including occupational health and safety and equal opportunity.
• Demonstrates positive workplace behaviours and relationships at all times with internal and external stakeholders.
• Ensure accurate and up to date equipment list and follows up Capital Equipment orders and requests.
• Acts as the key contact person for the Volunteer groups and Community Advisory Group at Rosebud Hospital.

Essential Criteria

• Experience at a senior administrative level
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Access, Outlook).
• Excellent communication and interpersonal skills including professional telephone manner.
• Extensive secretarial experience.
• Strong leadership skills and the ability to influence people
• Strong report writing and submission development skills
• High levels of motivation
• Ability to prepare letters, emails and reports using clear, concise and grammatically correct language

Selection Criteria Essential: Are you proficient in the MS Office Suite (Word, Excel, PowerPoint, Access, Outlook)
