Personal Assistant to Professor of Medicine
An excellent opportunity has arisen for a professional Personal Assistant to support the Professor of Medicine in a permanent full time position. This is a fantastic role that requires a confident, professional Personal Assistant who can manage a busy workload, multi-task and deliver results.
The duties include:
• Provide a range of administrative support services, including: o Answering telephone calls and responding to enquiries o Diary management for Professor of Medicine o Coordinating meetings and travel arrangements o Drafting and preparing documents, memoranda and correspondence o Collating and distributing meeting papers o Managing Professor of Medicine’s publications database using Endnote o Assistance with grant applications and publication submissions o Assisting in maintaining ROPES and ERA profiles for academic and adjunct staff o Assisting in developing and maintaining a web-profile for the Dept of Medicine. • Act as the first point of contact for enquiries to the Professor of Medicine by using initiative and judgement to handle or refer matters appropriately, including assisting and supporting new staff. • Arrange for the dissemination of Professorial communications via appropriate methods and liaising with Monash University.
The successful applicant will have:
• An Associate Diploma in office administration or a similar field with significant relevant work experience or an equivalent combination of relevant experience and/or education/training in an administrative environment. • Operational knowledge of the tertiary education and research sector and the medical sector. • Superior communication and interpersonal skills • Excellent time management and prioritisation skills • An appreciation of the need to handle matters confidentially and sensitively. • Initiative.
