Position Summary

The Operations Assistant plays a vital role supporting the Department’s Medical Staff and day to day clinical functions ensuring efficient day to day functioning of the service to ensure that time and resources are managed effectively. Core responsibilities are to support the Clinical Risk framework and all matters relating to medical staffing, including rostering.

The Operations Assistant is also responsible for providing secretarial/administrative support to the Clinical Director Mental Health.

Key Responsibilities

• Provide comprehensive, high level administrative assistance and support to the Department and the Mental Health Clinical Director.
• Liaise with Internal and External stakeholders ensuring excellent working relationships at all times.
• Review, develop and maintain administrative systems and processes that support the smooth running of the department.
• Working with and respecting sensitive information, ensuring this is maintained confidentially at all times.


Essential Criteria

• Certificate IV or higher in Business (or related field).
• Ability to work autonomously, apply initiative and prioritise work within established policies and guidelines.
• Ability to manage confidential and sensitive material in a professional manner.
• Ability to provide leadership and manage administration responsibilities across Mental Health.
• Excellent verbal and written communication skills.
• Broad secretarial experience with up to date knowledge and skills using relevant computer programs including Microsoft Applications (Word, Excel, Powerpoint, Publisher, Access and Outlook).
• Demonstrated skills in collation and reporting on evaluation tools.
• Current Victorian Drivers Licence.

Selection Criteria Essential: Certificate IV or higher in Business (or related field)
